6. Avoid Client Communication

We’d love to explain why we don’t allow contractors to communicate directly with couples without permission. We’ve captured more than 2,000 weddings. We’ve learned how important it is for information to stay in one (1) single place.

All of the client’s logistical information stays in one place on Dashboard, such as the wedding address, arrival time and important notes. There’s no confusion. Sound Originals employees, photographers and videographers all see the exact same logistics. Please remember that some weddings have two (2) photographers and two (2) videographers. It would be very confusing if the couple is only texting with one of the photographers — because nobody else assigned to the wedding would know the correct and up-to-date information.

It creates confusion when photographers start texting back and forth with clients. Clients may try to change logistical information with a text message — and you may not see it, or you may not know what to do. For example, let’s say a bride texts you and asks to change the arrival address. It would suddenly be your responsibility to update Dashboard with the new address and make sure all the other team members assigned to that wedding also have the updated address. If you forgot to tell everyone else, for example, you could accidentally cause a major problem on the wedding day. The other photographers or videographers might show up at the wrong address or the wrong time because you forgot to update everyone, or you didn’t have the right contact information for the other team members. We don’t want you to have to worry about that!

We have a very detailed process for communicating with clients. We respond very quickly. If a client texts you, and you don’t respond quickly, you could accidentally create a situation where the client is frustrated and worried. They might start texting or calling you after hours trying to get information. If a client is unhappy with their photos or videos, they may also start texting or calling you. It is not your job to handle these kinds of communications, so that’s why we protect you from the very beginning.

Some clients want to meet you ahead of time, and we love that. That’s why we offer clients a free virtual planning session with their photographer or videographer.

PLANNING SESSION

Planning sessions are scheduled with our planning specialists, Sarah and Gabriella! Planning sessions are 30 minutes. The purpose is to provide important instructions and information so you can successfully capture the wedding.

Many clients don’t want a planning session. Don’t take it personally! Some clients just want the wedding planning process to be as simple as possible. They want a great photographer, but they don’t want to spend a lot of time and energy talking to them ahead of time. That’s perfectly fine!
